E-commerce Coordinator at KTH

Job Responsibilities

KTH is looking for an e-commerce coordinator who, together with the rest of the e-commerce team, enables and develops a well-functioning e-commerce within KTH.

There are three e-commerce coordinators in the team who work closely together on a daily basis to ensure that KTH's e-commerce operates in the best possible way.

Examples of job responsibilities:

• Implement agreements in KTH's e-commerce system. This includes connecting suppliers to the system, uploading price files, and working with punch-out connections.
• Management of existing agreements in the e-commerce system.
• Access management in the e-commerce system.
• Point of contact both internally and externally regarding e-commerce. This involves both employees internally at KTH, external partners, and suppliers.
• Training of users of the e-commerce system.
• Other administration related to e-commerce.
• Participate in the group's development work, particularly focusing on e-commerce-related development.

About the Department/Group

The mission of the Administrative Support (VS) is to support the university's core activities of education and research. We do this by providing qualified support in various administrative processes. At the same time, we are policy-making and coordinating within administrative support. We are also responsible for performing quality controls, follow-ups, and evaluations that develop the operations.

As an E-commerce Coordinator, you will belong to the procurement group within the Finance Department, which consists of about 17 employees. The procurement group is rule-making, advisory, coordinating, and evaluating towards the operations in procurement matters. The responsibilities of the procurement group include procurement, contract follow-up, and e-commerce.

KTH has had an e-commerce system since 2012 for an efficient purchasing process. By making supplier agreements orderable in an e-commerce system, it becomes easy to search for agreed goods and services, as well as see the current prices. With e-commerce, the follow-up of KTH's purchases becomes smoother and requires less time, providing a good basis for the continued strategic work with procurement. E-commerce also strengthens internal control and allows for the streamlining and automation of internal processes.

The procurement group is led by KTH's Procurement Manager, and the position is located at KTH Campus Valhallavägen in Stockholm.

Qualifications

Requirements

• High school diploma with a focus on economics or equivalent.
• Experience working with e-commerce and knowledge of and experience with IT support for electronic purchases/orders.
• Good computer and system skills, including the Office suite, especially Excel.
• Express yourself well in Swedish and English, both orally and in writing, as this is required in daily work.

As a person, we see that you have good collaboration skills with different types of people and can easily understand a complex operation. We also see that you are structured and service-oriented and are self-driven in your work. We also believe that you have a good ability to adapt your communication to the recipient.

Meritorious

• Post-secondary education in procurement, project management, and/or public procurement.
• Experience in adapting communication to different target groups/stakeholders. This applies to both written and oral communication as an e-commerce coordinator handles everything from answering questions in a shared functional email to writing news and manuals to having meetings with suppliers and other external stakeholders.
• Good understanding of the purchasing and procurement flow in a government agency.
